Sunset: Scheduling a Visit

Sunset: Visits are no longer available as of 08/30/21. Schedule visits in cb Track to a provider, such as a daycare or a home check-in.

Schedule a Visit: 

  1. Go to the Provider Profile
  2. Click Upcoming Visits on the navigation section (left side) to get to the Upcoming Visits section. 
  3. Click the Create visit button (plus sign) on the right side). 
  4. Type all the required information (highlighted in green with an asterisk) and any additional information you have into the text boxes.
    • Date (Required) is the date of the visit.
    • Start time (Required) is time when the visit begins.
    • End time is time when the visit ends.
    • Form type is the type of form you need to fill out at this visit, such as an inspection form or a home assessment form. Any available forms will show up as an option. 
    • Reason for visit is the reason for the visit, such as an annual inspection or an incident follow up.
    • Notes are any additional details you want to provide.
  5. Click Schedule Visit to save. 
  6. Details about the visit will show up. Click on Edit to make any changes or click Done to finish.

Add a Scheduled Visit to your Calendar 

  1. To add a scheduled visit to your personal calendar (outside of Casebook), click on the Add to calendar button (upper right corner) on the scheduled visit's confirmation page. This is the page that appears right after you click on Schedule Visit. 
  2. Click on the calendar type (Apple calendar, Google, etc.). 
  3. From there, add the event to your calendar according to the calendar you selected. 

Edit Scheduled Visits

  1. To edit a scheduled visit, click on Edit visit button on the right side. 
  2. Add or make changes to the visit. 
  3. Click on Schedule visit to save the changes. 

View Scheduled Visits

Scheduled visits will show up on the provider profile in the Upcoming visits section. You can also sort visits by Date by clicking on Date. 

Scheduled visits will also show up on cb Track's Workload View, as well. 

Visits that are more than 10 days away will not show up on the WLV. 

Expand the card, and more information about the visit will be displayed. 

Click on Visit to view the details of the upcoming visit.
