Inherited People Access for Assignees
Overview
When you add a new assignee to a case, they often need access to the people connected to that case to do their work effectively.
The Inherited People Access for Assignees feature makes this process simple and secure — Casebook automatically checks whether the new assignee can view those people and prompts you to grant access instantly, without requiring admin help.
This keeps work moving quickly while protecting sensitive information and respecting role-based permissions.
🌟 Why This Matters
Casebook’s new access logic helps your team work efficiently while maintaining strict privacy controls.
With this feature, your team can:
✅ Work faster – New assignees can immediately view the people connected to their cases and take action right away.
🔒 Stay secure – Access is never granted automatically; you stay in control.
⚙️ Reduce manual work – No more waiting for admins to adjust permissions.
🧭 Avoid confusion – Ensures assignees see only the people they should.
⚙️ How It Works
When you add a new assignee to a case, Casebook checks whether they already have permission to view all people linked to that case.
If they don’t, you’ll see a “Grant people access?” message:
To complete the process:
-
Add the new assignee to your case.
-
If the person doesn’t already have access, the prompt will appear automatically.
-
Choose Grant access to give all current assignees visibility to people on the case.
-
Choose Don’t grant access to maintain limited visibility.
-
Once you make your choice, Casebook updates permissions instantly; no extra setup needed.
👀 When You’ll See the Prompt
The Grant People Access modal appears only when all of these conditions are met:
-
A new assignee is added to a case.
-
The new assignee’s role uses “People: View = Limited Access.”
-
The assignee doesn’t already have access to all people linked to the case.
-
The user making the assignment has edit permissions on the case.
If any of these aren’t true, the prompt won’t appear, and no changes will be made.
🔐 Who Can Grant Access
Only users with edit permissions on the case can grant access to people.
This ensures data sharing stays consistent with your organization’s permission policies.
🧭 Troubleshooting
If you expected the prompt but didn’t see it, check these first:
✅ Confirm your user role includes edit access to people on the case.
✅ Verify the new assignee’s role is set to “People: View = Limited Access.”
✅ Check if the assignee already has access — in that case, the modal won’t appear.
If none of these apply and the prompt still doesn’t appear, please contact Casebook Support.
