Using Cartographic Maps

Casebook now includes cartographic map visualizations that help case workers quickly spot patterns and activity based on location. These maps make it easier to see where clients live, where services are being delivered, and where incidents are taking place, giving you a clearer picture of the communities you serve.

📌 Note: This is a Limited Release feature. Your organization must request access to use it. Contact your Customer Success Manager or the Support team to opt in.

What Types of Maps Can I Use?

Scatter Map

Displays bubbles on a map to show exactly where clients, incidents, or services are located, helping you see patterns at the individual level across your coverage area..

To use a Scatter Map successfully, each data point must have latitude and longitude coordinates. These coordinates tell the map exactly where to place each bubble.

👉 How to make sure you have latitude and longitude data:

  • When adding or editing an address, you must select the address from the autocomplete suggestions (the dropdown that appears when you begin typing).

  • If you manually type the full address and press Enter without selecting a suggestion, Casebook will not save lat/long data, and your map will not work.

  • If your scatter map is blank, this is likely the cause.

💡 Datasets that support latitude and longitude:

  • People: Home Address, School Address

  • People Locations: Address

  • Intake Reports: Incident Address

  • Providers: Address

  • Schools: Address

🌍 Supported geographic areas:

  • Global: Continents, Countries

  • United States: Regions, States, Counties

  • Canada: Supported only if latitude and longitude are present (no support for provinces or sub-regions)

Choropleth Map

This map highlights entire areas, like counties or states, based on your data. It’s a great way to visualize how many clients live in a region or where services are being delivered most. With just a glance, you can spot areas with high or low activity and better understand the reach of your work.

Choropleth Maps do not use latitude and longitude coordinates.. Instead, they rely on structured and standardized text values for geographic areas.

You must enter names or codes correctly for the map to recognize and highlight regions.

✅ Acceptable formats:

  • Countries and continents (e.g., "Canada", "Europe")

  • Three-letter country codes (e.g., "USA", "CAN")

  • U.S. States: Use official 2-letter abbreviations (e.g., "NY", "CA")

  • U.S. Counties: Must be formatted as "County Name, State" (e.g., "Seneca, NY" or "Seneca, New York")

❌ Not supported:

  • Canadian provinces or counties

  • Misspelled or incorrectly formatted locations

⚠️ What to Watch Out For

To get the most out of cartographic maps in Casebook, it's important to understand a few common limitations that may affect how your data appears:

1. Missing Location Data (Latitude and Longitude)

If your Scatter Map is blank, it's likely because the location data (latitude and longitude) is missing.

  • Latitude and longitude are only saved when you select an address from the autocomplete dropdown while entering it.

  • If the address is typed manually and not selected from the list, the system won’t capture the location, so it won’t show up on the map.

✅ Tip for caseworkers: Always use the address suggestions when entering client, incident, or provider addresses to make sure they're mappable.

2. Address Errors

Casebook currently does not validate addresses, so it’s possible to:

  • Enter typos
  • Leave out critical details (like city or ZIP code)
  • Use inconsistent formats

These issues can prevent addresses from appearing on either map type.

✅ Tip for admins: Consider training users to follow a standard format and use the autocomplete tool for all addresses.

3. County Formatting Issues

For Choropleth Maps, counties must follow a specific format or the map won’t recognize them.

  • Example of correct format: "Seneca, NY" or "Seneca, New York"

  • Incorrect or unsupported formats won’t display

🔧 Admins: Double-check any manually added counties against the accepted list to ensure they are supported by Casebook’s mapping tool.

4. Data Import Limitations

Latitude and longitude are not saved when addresses are added through data imports.

  • Even if the address is complete, imported records will not appear on Scatter Maps unless the latitude and longitude are later captured through manual editing.

Tip for data teams: If mapping is a priority, consider verifying or re-entering critical addresses manually using the autocomplete tool to capture location data correctly.
