Workforce Development in Casebook

This article will give you some suggestions on how configure Casebook if your are a Workforce Development Organization.

There are multiple ways that your organization can configure Casebook. This article will go over some suggestions on how to do so for the Workforce Development use case. Please note that this is a list of suggested ways, and these items can be altered to fit your organization's needs. 


  • cb Intake: 

    • This largely depends on if your organization works with every client that inquires with you or if you need to screen out based on eligibility. This can also depend on how you get data about their prospective clients. 

  • cb Engage:

    • Create a case per person that you are working with. Enroll clients into a service through the Service Plan section to document any training classes or job attainment support the client receives, as well as the employment information once the client is hired. 

    • Use Service Notes to document attendance for any relevant services, such as a training class. 

    • Use Workflows as needed. You can tie these to the Case Status to automate the triggers. 

    • Suggested Field Usage:

      • Role: 

        • Track how the client relates to the involvement type (program). Are they a participant? A volunteer? A leader? A student?

      • Case Type: 

        • Over-arching programs that this organization offers or classifies clients into. 

      • Involvement Type: 

        • Track program areas. These could be departments within a larger organization or smaller programs an organization classifies clients into. 

      • Case Status: 

        • Track client status, for example, In Training, Graduated, Hired, etc. Think of these as steps that a client would take in the workflow of your organization. 

  • cb Track: 

    • Create a provider for your organization, or each department if your organization is large, to track internal service delivery such as training classes or resume building. 

      • Create the classes or job support services as services. 

    • Create a provider for each employer (business) that clients may be hired onto. 

      • Create the roles that the clients may be employed in as services. Track salary information in the service - is this hourly? What is the hourly rate?

    • Suggested Field Usage:

      • Provider Type: 

        • Overarching category to classify the provider. Partner, training provider, funder, employer, etc.

      • Provider Sub-Type: 

        • Industry information. Manufacturing, Agriculture, etc. 

      • Service Type:

        • Classify what the service is. Is this a training class? Job attainment support? Employment? 

      • Reason for ending service: 

        • Track outcome information. Was this class successful/unsuccessful? Did they graduate? Did they retain employment? 

  • cb Reporting:

    • Service Enrollments + People

      • Client demographics with job placement 

        • Race

        • Age

        • Gender

        • Ethnicity

        • Service_name

        • Service_type

        • Enrollment_status

    • Service Notes Recipients

      • How many people attend each training session?

        • Person_name

        • Attended

        • Personal_note_narrative

        • Group_note_narrative

        • Started_at

        • Ended_at

        • Service_note_id (to count)

    • Service Enrollments

      • How many people complete the training course?

        • Actual_outcome_reason
