cb Access: Applicants/Applications FAQ

An organization asked you to fill out an online application, perhaps to be a foster or adoptive family, or to be a host family. Keep reading to learn more about the Casebook applicant portal: cb Access.

How do I fill out an application?

To fill out an application, navigate to the page using the url the organization gave you to sign up for an account. After you sign up, you'll be take to the application page where you can fill out the information. Find out more details here

How do I make changes to an existing application?

If you have not submitted the application, you can still make changes to it. Just log back in and navigate to the section you need to make changes to. 

Otherwise, you can reach out to the organization to help with making changes, if you've already submitted your application. 

How do I upload attachments?

You'll see tasks that are assigned to you in the 'My Tasks' section. If a task requires files to be uploaded, click on the 'Upload file' icon to add attachments and upload them. 

After you've submitted the attachments, it will be sent to the worker that assigned it to review and approve.

If the task is approved, it cannot be edited. If the task is rejected, you'll be sent a note on what needs to be updated to resubmit it. 

How do I fill out forms?

You will see any forms that need to be filled out in the 'My Tasks' section.
Click on the Start form icon to fill out the form. You can save the form to come back to later, if you are not ready to submit it.

After you've submitted the form, it will be sent to the worker that assigned it to review and approve. If the form is approved, it cannot be edited. If the form is rejected, you'll be sent a note on what needs to be updated to resubmit it. 

How do I log in?

You can log in at the url you were given. If you haven't signed up yet, you'll need to sign up before you are able to log in. 

Will I get notifications?

Yes, you will receive email and in app notifications when tasks have been assigned to you, when tasks have been approved, etc. 

What if I need to get in contact with the organization?

If you need to get in touch with the organization, we suggest that you reach out directly to them. 

How do I add an applicant to Casebook?

Applicants can self-register or administrators can add them in cb Admin > Portal Users page in cb admin and given the application portal user role

    How does an applicant access their online account/applicant?

    Applicants can access their application using the link that was given to them by the organization. It will be the same URL that your Casebook workers use, but it will log them in to the cb Access portal. 

    How do I see/review their application? 

    You can see and review applications in cb Access. From the cb Access Workload View, you can click on the person's name to review their application. 

    There is more than 1 application for the same applicant. How do I merge them?

    At this time, there is not a way to merge applicants. 

    Is there a way to be notified when there is a new application?

    Yes, there are in app and email notifications when a new application is submitted. Any users with the Provider Supervisor role will automatically receive notifications. 

    However, organizations can also make changes to who receives these types of notifications in cb Admin > Providers > A new application has been submitted (Edit/pencil button).

    Is there a way to be notified of duplicate applications?

    There are no notifications from the dashboard or home page; however when you go to Applicant Data, if the address or phone number is the same as another application, it will provide a link to the duplicate with that matching information.

    You can assign tasks that require a form to be filled out on the provider record.
