The Granular Permissions feature is designed to give administrators precise control over who can view the Services section in Person Profiles. By using this feature, you can protect sensitive service history while still allowing users to perform their necessary tasks at the Case level.
This article provides a step-by-step guide to understand, configure, and use this feature effectively.
What is the Services Visibility Feature?
This feature enables administrators to restrict access to the Services section within Person Profiles for specific users, ensuring that only authorized personnel can view or edit sensitive service data in globally accessible areas.
Why Use This Feature?
- Protect Sensitive Information: Limit visibility of services to authorized personnel.
- Improve Workflow Control: Customize access to align with individual role responsibilities.
Who Should Use This Feature?
This feature is ideal for administrators who:
- Manage sensitive services information and need to control access.
- Allow restricted users to complete their work on a person profile while preventing access to service listings on the person profile to records they would not otherwise have access to.
🔧 How to Configure Services Visibility
Follow these steps to manage whether users can view the Services section on a Person Profile:
1. Access Roles in Admin
Go to the Admin area and navigate to the Roles section.
2. Select the Role to Edit
Choose the user role you'd like to update (e.g., Engage Worker) or create a new role.
3. Adjust Services Visibility
Within the role settings:
-
Find the Person Profile Permissions section.
-
Locate the Services checkbox.
-
✅ Checked: The user can see the Services section on Person Profiles.
-
⬜️ Unchecked: The Services section will be hidden for this role.
-
4. Save Changes
Click Save to apply your updates.
📌 How Permissions Work with Multiple Roles
If a user has more than one role, Casebook will always apply the highest level of access available across those roles.
For example:
-
The Engage Worker role may not allow access to Services on the Person Profile.
-
The Intake Worker role does allow it.
-
If a user has both roles, they will see the Services section, because the system honors the most permissive access between the two.
This prevents users from being unintentionally restricted when at least one of their roles permits access.
What Happens After Configuration?
For Restricted Users:
- The Services section will no longer be visible in Person Profiles.
-
Changes to the "Services" visibility setting take effect immediately upon saving.
-
If a user is currently viewing a Person Profile and their permissions have been updated, refreshing the page will apply the new settings instantly.
- These users can still manage their clients’ services at the Case or Intake level, ensuring no disruption to their workflow.
For Unrestricted Users:
- There will be no changes; the Services section remains accessible.
Best Practices for Admins
- Regularly review permissions to ensure they align with staff responsibilities and organizational policies.
- Clearly communicate role-based permissions to your team to avoid confusion.
- Leverage the Roles menu in Admin to easily adjust permissions as your team evolves.
